Academic Vice President’s Office
The Academic Vice President is the chief operating officer of the academic enterprise. He serves as the President's chief advisor in matters relating to academic, and student affairs and is administratively responsible for all those functions. These responsibilities focus on:
- recommending to the President faculty appointments, reappointments, promotions, and terminations based on both independent study of credentials and the recommendations of the department heads and faculty committees;
- providing appropriate recommendations for institutional nominations for various faculty awards and recognitions;
- working on policies and procedures that directly affect the faculty;
- ensuring that changes in policies, procedures, programs, and organizations are included in policy manuals; and overseeing the publications concerning academic matters: and
closely working with national and international institutions with which the University College has established links.
Assistance Academic Vice President's Office
The Assistant Academic Vice President’s Office is responsible for the effective and efficient operation of the academic unit within the policies, directions and plans of the University College.
The primary responsibilities of the Assistant Academic Vice President include:
- overseeing the overall academic activities of the University College;
- providing support to departments and faculties to promote excellence in teaching-learning and research;
- providing support to department chairs and/or Faculty Deans in implementing strategies and policies related to course and program development and teaching-learning and assessment issues;
- organizing and facilitating skills upgrading workshops and training for faculty and students;
- promoting and assisting with continued development of the University College’s strategic plan and goals;
- coordinating publications of the University College;
- monitoring the activities of the Apprenticeship and Practicum Coordination Office as well as the Academic Program Office; and liaising with partner institutions.
Office of the Registrar
The philosophy of the Office of the Registrar is based on the assumption that service to students and faculty is the first among its priorities, recognizing that students are its primary constituents. To achieve this, the Office uses the best and most current methods of keeping records, of ensuring their privacy and safety and of helping students and the University College achieve their academic goals. The Office of the Registrar believes in the values of honesty, correct information, positive attitude, equality and fairness, competency, cooperation and teamwork, continual self-assessment, privacy and security, and creativity and innovation.
ADMISSION
Admission Requirements
Admission requirements are set by the Ministry of Education (MoE) and the Regional Education Bureaus. The University College strictly adheres to these regulations.
Required Documents for Application
- Copies of original EGSEC/ESLCE along with their photocopies;
- College/University transcripts. Applicants who have attended a college or university must request for their official transcript to be sent to the Office of the Registrar, SMUC;
- TTI certificate (This applies to those registering for teacher education programs);
- Two passport size photographs; and
- Registration and tuition fees as required.
Class Roll
Immediately after registration, the Office of the Registrar, in collaboration with the pertinent academic departments, prepares preliminary class rolls for instructors. Students who are not in the preliminary list will not be allowed to attend classes and have to report to the Office of the Registrar.
When to Apply
Applicants are encouraged to apply at least three to four weeks prior to the first semester of attendance. This will allow adequate time for the student to request any academic credentials needed to complete the application file, and participate in New Students’ Orientation and Registration Programs.
Semester
Except in the TVET program, SMUC operates on a semester system, consisting of two semesters and a Kiremt program which lasts from mid-July to mid-September every year.
Grade Reports
Grade reports will be made available at the students’ departmental offices. Grades are not mailed to parents. Students may arrange to receive their grades through the mail by providing the Registrar’s Office with a stamped, self-addressed envelope and a completed Grade Mailing Request Form or can provide their personal e-mail addresses.

Academic Program Office
The Academic Program Office is designated to serve students and faculty by preparing an academic program, which is convenient to both parties, using the physical facilities and human resources in order to run the teaching-learning process smoothly. The Office ensures that its planning activities are executed well ahead of time in order to provide dependable services both to the faculty and students.
Some of the duties of the Office include:
- preparing schedule of classes which will enable instructors and students to use the allotted hours effectively and efficiently;
- ascertaining the smooth running of the entire teaching-learning process;
- ensuring that class schedules have been properly communicated to students and faculties before the commencement of classes;
- preparing exam schedules;
- producing statistical data about teaching load and invigilation load of instructors; and
- supervising and facilitating invigilation processes.
The Office performs all the aforementioned and other duties being supported by its qualified staff and an automated system, which has already been put in place.
